Business insurance renewal timeline planner

Enter your policy expiration date for a dated 120-day renewal plan, shown as a table and downloadable as a calendar file for Outlook, Google or Apple.

Runs entirely in your browser: nothing you enter is sent or stored by this site. Results are estimates for planning, not a quote or advice.

How to use it

  1. Policy expiration date. If your policies expire on different dates, plan around the largest one, or run the planner once for each.
  2. Policies renewing (optional), such as "package, auto and umbrella". The words go into the calendar event titles.
  3. Weekend dates. With the box ticked, a task that falls on a Saturday or Sunday moves to the Friday before.
  4. Expiration and follow-up. With the box ticked, the plan also includes the expiration day and a check of the issued policies 30 days later.

The table lists each date, how far it is from expiration, and the tasks. Download calendar (.ics) saves a calendar file with one all-day event per step, each carrying its task list, and it imports into Google Calendar, Outlook or Apple Calendar. Save on this device keeps the date and options in this browser, so the plan is there when you come back. Download as text saves a checklist. Nothing is sent to a server.

The schedule

The steps follow our business insurance renewal: a 90-day checklist and how to negotiate a business insurance renewal:

Days before expiration Step
120 Start: strategy call with your broker, five years of loss runs from every carrier, a list of what changed, a review of contracts
90 Update exposures (sales, payroll by class, vehicles and drivers, square footage, statement of values at current replacement cost), check the experience mod worksheet, send the complete submission, decide whether to market the account
60 Terms and quotes arrive: watch for a nonrenewal or conditional renewal notice, answer underwriter questions, check the incumbent's rating, ask for a written comparison of expiring and renewal terms
45 Compare quotes on one worksheet, separate rate from exposure, negotiate with specifics, revisit limits and deductibles
30 Accept a proposal in writing, bind or give notice, get binders
15 Check payment and premium finance terms, confirm binders, request updated certificates, calendar the premium audit

Each date is the expiration date minus that many days, moved back to Friday if it lands on a weekend and the box is ticked. If some dates are already past, the planner says so and shades those rows. Do the overdue tasks now.

How the calendar file is built

The file follows the iCalendar standard (RFC 5545). It has one VEVENT per step, each an all-day event (a DTSTART date and a DTEND of the next day), with a unique ID, a timestamp, the step as the summary and the tasks as the description. Lines end in CRLF and are folded at 75 bytes, and commas, semicolons and line breaks in the text are escaped. Your browser builds the file and nothing is uploaded. Importing it twice may create duplicates in some calendar apps, so delete the old events first.

Assumptions and limits

  • A general plan. Large accounts, property schedules with catastrophe exposure and accounts with open claims take longer, so start earlier.
  • Notice periods are set by state law and differ by line. New York, for example, generally requires an insurer's notice of nonrenewal or conditional renewal on covered commercial policies 60 to 120 days before expiration. Your policy and your state set the real deadlines. See policy cancellation and nonrenewal: notice periods and your rights.
  • Your broker's calendar. Brokers often have their own internal dates; share this plan and agree on one.

Prepare the submission with how to prepare an insurance submission underwriters will read, check loss runs: what they are and how to request them early, and compare quotes in the business insurance quote comparison worksheet.
